Cold calling script templates for small sales teams

Eight short, proven cold calling scripts you can copy today, with the structure behind them, answers to the objections you hear most, and the calling rules to respect.

A good cold calling script is not a speech. It is a short path with three goals: earn the next 30 seconds, find out if there is a real need, and agree on a next step. Below are free templates written for small sales teams, ready to copy and adapt. Replace the words in [brackets] with your own details, then say them out loud a few times until they sound like you.

Free to use: copy these scripts into your playbook, CRM or training deck. If you share them on your blog or with another team, a link back to this page is appreciated.

The structure behind every script

  1. Opener (5 seconds): your name, your company, and why you are calling this person.
  2. Reason (10 seconds): one problem you solve for people like them, in their words.
  3. Question: an easy question that lets them say how it works today.
  4. Listen: let them talk. The best calls are 60% the prospect.
  5. Next step: a specific time for a callback, a demo or a visit. Book it before you hang up.

1. The permission opener (B2B)

You: Hi [first name], this is [your name] from [company]. I know I'm calling out of the blue. Can I take 30 seconds to tell you why, and you tell me if it's worth continuing?

You: We help [type of company, e.g. insurance agencies with 3 to 10 agents] [result, e.g. get more conversations from the same lead lists]. Most owners I speak with tell me [common problem, e.g. their agents spend half the day on voicemail]. How is that going on your side?

Why it works: asking for 30 seconds lowers the guard, and the question invites them to describe their situation instead of saying no to a pitch.

2. The referral or trigger opener

You: Hi [first name], [your name] from [company]. I saw that [trigger: you're hiring two new sales reps / you opened a second office / you posted about growing the team]. Usually when that happens, [problem the trigger creates]. Is that something you're dealing with right now?

Triggers make the call relevant. Spend two minutes on LinkedIn or the prospect's website before dialing and write the trigger in the client file.

3. Getting past the gatekeeper

You: Hi, this is [your name] from [company]. Could you help me? I'm trying to reach the person who handles [topic, e.g. the phone system for the sales team]. Would that be [name] or someone else?

If asked "What is it about?": It's about [topic] for the sales team. I'd like two minutes with [name] to see if it's even relevant. When is the best time to catch them?

Be polite, be brief, and treat the gatekeeper as a helper. Write their name in the file and use it on the next call.

4. Voicemail scripts

Keep voicemails under 25 seconds and give one reason to call back. Say your number slowly, twice.

First voicemail: Hi [first name], [your name] from [company]. I'm calling about [one specific result]. I'll try you again on [day] morning, or you can reach me at [number]. Again, [your name], [number]. Thanks.

Second voicemail (a few days later): Hi [first name], [your name] again from [company]. I left you a message on [day] about [topic]. One quick idea: [one useful tip or number]. If it's not a priority, just let me know and I won't keep calling. [number].

5. Following up a lead who asked to be contacted

You: Hi [first name], it's [your name] from [company]. You filled in our form about [topic] on [day], so I wanted to call you personally. Is now still a good time for two minutes?

You: What made you look into this now?

Call web leads within five minutes when you can. The longer you wait, the fewer people answer.

6. Real estate cold calling script

You: Hi, is this [first name]? This is [your name] with [brokerage]. I'm calling homeowners on [street or neighborhood] because [reason: a home nearby just sold / buyers are asking about this area]. Have you thought about what your home would be worth today?

If they are curious: I can send you a free price estimate based on the recent sales on your street. Is this the best number to text it to, or do you prefer email?

Before calling homeowners, scrub your list against the national Do Not Call registry and your own internal do-not-call list.

7. Insurance follow-up script

You: Hi [first name], [your name] from [agency]. You asked for a quote on [type of insurance] on [day]. I have a couple of quick questions so the quote is accurate. Do you have three minutes now, or should I call you back at a better time today?

You: Who is covered today, and when does your current policy renew?

8. Booking the next step

You: Based on what you told me, I think a 15-minute demo would be worth it. I have [day] at [time] or [day] at [time]. Which one works better?

You: Perfect. I'm sending the invite now to [email]. If anything changes, just reply to it.

Offer two specific times instead of asking "when are you free". Book the callback in your CRM before the call ends.

Answers to the most common objections

They sayYou answer
"I'm not interested."Fair enough. Is that because you already have something that works, or because the timing is bad?
"Send me an email."Happy to. So I send something useful, what is the one thing you would want to know?
"We already use [competitor]."Good to hear. What do you like most about it? And if you could change one thing, what would it be?
"It's too expensive."Compared to what you pay today, or compared to the budget you set? Let's check the real numbers together.
"Call me later."Sure. Is [day] at [time] good? I'll put it in my calendar now.
"How did you get my number?"Answer honestly: name the source (your website, a referral, a public directory) and offer to remove them from your list if they prefer.

Cold calling tips that make any script work better

Calling rules to respect

Scripts do not replace the law. In the United States, check numbers against the National Do Not Call Registry, keep your own internal do-not-call list, and call between 8 a.m. and 9 p.m. in the person's local time under the Telemarketing Sales Rule. Prerecorded messages and autodialed calls to cell phones have stricter consent rules under the TCPA. In Canada, the National Do Not Call List and the CRTC Unsolicited Telecommunications Rules apply. Rules change and vary by state and province, so check them for every place you call. This page is general information, not legal advice.

Put the script to work with a dialer

Zorino is a power dialer for teams of 2 to 10. It calls your list one number at a time, skips answering machines, and rings each rep on their own phone only when a real person answers, so your reps spend their time on the script instead of on rings. Callbacks, notes and the Do Not Call list stay in the client file, and managers see calls and talk time for every rep. You can hear it ring your own phone in 2 minutes.
